Job Description

Under the direction of the Chief, and working closely with the EMS Senior Management Team, the Administrative Assistant will provide a high level of executive secretarial and confidential administrative support to the Chief, Deputy Chiefs, and Manager of Administration. The incumbent will have daily access to confidential and sensitive information related to all areas of the EMS Department’s functioning, including financial, budgetary, human resources, and labour relations information. The incumbent will work in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain confidentiality. The incumbent must present a professional image in the EMS Department office by interacting knowledgably and courteously with the many people who may come into contact with the Office of the Chief, including allied agencies, Politicians, dignitaries, and media. The incumbent must be a highly motivated and energetic individual who enjoys the challenge of working in a dynamic, fast-paced environment.

• 2-year Community College Diploma related to office administration. • 3 years of senior secretarial experience, preferably within a public sector environment. • Strong oral and written communication, interpersonal, analytical, decisionmaking and organizational skills. • Strong customer service orientation. • Demonstrated initiative, accuracy and meticulous attention to detail. • Demonstrated judgement, tact, discretion and ability to handle complex matters of a sensitive and confidential nature. • Ability to handle a heavy and fluctuating workload in a changing environment. • Able to work under pressure and to meet deadlines. • Able to work effectively and professionally, both independently and within a team environment. • Proficiency with MS Office (including Outlook). • Superior computer skills including proficiency in MS Office Applications. • Demonstrated ability to support a management team in a proactive, creative and confidential manner. • Ability to handle multiple tasks and deal with competing deadlines and demands. Ability to juggle multiple schedules and coordinate confidential meetings. • Ability to work occasional overtime. • Valid Class “G” Ontario Driver’s License and use of personal vehicle required.
